Privacy Policy

This policy explains what Ball Coach collects, why we need it, who can access it, and the choices available to schools, coaches, players, and families.
Information we collect
Account and organization data, such as names, email addresses, authentication records, roles, school or club names, team identity, and billing-customer identifiers.
Coaching and athlete data submitted by authorized users, such as rosters, jersey numbers, class years, schedules, statistics, notes, evaluations, scouting material, play diagrams, uploaded images, and CSV files.
Usage and device data, such as feature events, browser and device information, approximate location derived from IP address, referral data, diagnostics, security events, and cookies needed to operate the service.
Payment details are collected by Stripe. Ball Coach stores Stripe customer, subscription, Price, status, discount, and invoice-related identifiers but does not store full card numbers or bank credentials.
How we use information
We use information to provide and personalize the service; authenticate users; enforce Program, team, role, seat, and subscription access; generate requested AI output; import and calculate statistics; provide support; process billing; prevent abuse; maintain security; troubleshoot; communicate service notices; and understand product performance.
We do not sell personal information. We do not use athlete roster content or private coaching reports for third-party advertising. We do not make solely automated high-impact decisions about athletes.
AI processing
When an authorized user requests an AI feature, the information needed for that request may be sent to the configured AI provider. We limit prompts to the task and avoid sending payment details. Coaches should not enter medical, biometric, disciplinary, or other highly sensitive information into free-form prompts.
AI output is returned to the Program and may be stored with the related report or play. Provider handling is also governed by the provider agreements and settings used by Ball Coach.
When we share information
We share information with service providers that help run Ball Coach, such as hosting, database, object storage, authentication, email, analytics, error monitoring, payment, and AI providers. They may process information only to provide contracted services to us.
We may disclose information when reasonably necessary to comply with law, protect users or the public, investigate fraud or security incidents, enforce agreements, or complete a merger, financing, acquisition, or sale subject to appropriate confidentiality protections.
Within Ball Coach, information is shared according to Program roles and features. A Program owner controls staff invitations. Player or guardian access requires the applicable subscription and an authorized claim workflow. Public share links expose only the resource intentionally shared and can be revoked or expired.
Schools, families, and minors
Ball Coach is designed for sports programs and may contain information about student athletes. Schools, clubs, and coaches are responsible for determining their authority to submit and share that information and for providing notices or obtaining consent when required.
The service is not directed to children under 13 for independent use. A parent, guardian, school, or other authorized organization must establish and supervise any access involving a child. Contact us if you believe a child’s information was submitted without appropriate authority.
Retention and deletion
We retain information while an account or Program is active and as reasonably needed for legitimate business, security, audit, backup, dispute, and legal purposes. Billing and webhook audit records may be retained longer than product content. Backups expire on a rolling schedule.
Canceling a subscription pauses premium actions but does not automatically delete Program data. This protects shared team records. An authorized Program owner may request an export or deletion review, and an individual may request account deletion, at support@ballcoach.ai. We verify authority and preserve shared Program records where another authorized member still needs them, while removing or de-identifying the requester’s personal account data as appropriate.
Security
We use administrative, technical, and organizational safeguards appropriate to the service, including scoped authorization, private storage controls, encrypted transport, signed webhooks, restricted secrets, audit records, and monitoring. No system can guarantee absolute security. Please report suspected unauthorized access promptly.
Your choices and rights
You can update core account and Program information in the service, manage billing through Stripe, revoke share links, and control certain cookies through browser settings. Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or obtain a copy of personal information and to appeal a denied request.
Send requests to support@ballcoach.ai. We may verify identity and authority, especially for shared Program or athlete data. Authorized agents should include proof of authority. You may also contact us to opt out of nonessential product email.
International use and policy changes
Ball Coach is operated from the United States. If information is processed in another country, we use appropriate provider and contractual protections where required.
We may update this policy as the service changes. We will post the updated date and provide additional notice when a change materially affects how we use personal information.
